Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement that you will receive upon booking confirmation or at the time of vehicle collection. This agreement outlines the specific terms, conditions, insurance provisions, and your responsibilities for the rental. In any case of discrepancies between these Terms and the Rental Agreement, the Rental Agreement will take priority.

You must possess a valid full driving license relevant to the vehicle category, held for the duration indicated in the Rental Agreement. Valid identification and proof of your current address are required, along with payment details and a security deposit. Any additional criteria outlined in the Rental Agreement must also be met.
Booking and Payment Details
- Bookings can be made easily through our website, over the phone, or at our Hatfield office. A deposit may be necessary to confirm your reservation, with full payment and a security deposit typically required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, ensuring secure transactions through trusted payment providers.
Vehicle Pick-Up and Drop-Off
- At the time of vehicle collection, it is imperative to conduct a thorough inspection and report any pre-existing damage without delay. A condition report will be prepared and signed by both parties. The vehicle should be returned in the same condition as it was collected, barring normal wear and tear. Any new damage will be evaluated and charged appropriately. It is your responsibility to return the vehicle with the same fuel level as at pick-up; refueling fees will be applied if it is returned with less fuel. Late returns may incur additional fees, so please notify us promptly if you anticipate any delays. You are liable for any parking tickets, traffic infractions, or charges incurred during the rental, along with a processing fee.
Insurance and Liability Details
- Basic third-party insurance is provided with all car rentals in Hatfield. Details, including coverage limits and excess amounts, are outlined in your Rental Agreement. Additional insurance may be available to lessen your financial responsibility. You are liable for any damage or loss up to the excess amount, unless additional coverage applies. Damage resulting from negligence or misuse remains your responsibility, regardless of insurance.
6. Cancellations and Modifications

7. Restricted Activities
Prohibited Uses of Vehicle
- Use of the vehicle for any illegal activities is strictly prohibited. This includes participating in racing, rallying, or off-roading, as well as engaging in hazardous activities. Transporting dangerous materials, sub-letting, or allowing unauthorized drivers is not allowed. Driving under the influence of substances, exceeding passenger and weight limits, or operating outside the agreed geographical boundaries requires prior authorization.
Breach of terms may lead to rental cancellation and fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire Hatfield will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims will not exceed the rental amount paid in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence, or for fraud.
9. Local Regulations
These Terms are governed by the laws of England and Wales. Any disputes will be resolved within the jurisdiction of the English and Welsh courts.
